What is required at the gateway submission stage?
When apprentices are ready to progress to their end-point assessment (EPA), all necessary evidence must be submitted through EPA Pro.
Gateway Submission Overview
The gateway submission consists of four key sections:
- Evidence – Uploading required files
- Apprentice Details – Verifying apprentice and employer information
- Questions – Confirming prior assessments and preferences
- Declaration – Signing off on readiness and compliance
Evidence
In this section, files must be uploaded for each required field. A clear image of the apprentice’s photographic ID is mandatory for all standards. If a valid photo ID isn't available, a recent photograph of the apprentice must be uploaded along with a signed ID Declaration form.
Each apprenticeship standard has specific requirements outlined in its assessment plan. These may include:
- Mandatory qualification achievement – Proof of required qualifications
- Portfolio of evidence – Supporting documents for competency assessment
- Project scope/summary – If applicable to the standard
Apprentice Details
Before the apprentice can take their EPA, all details entered during registration must be confirmed. These include:
- Apprentice contact details
- Workplace address
- Employer and provider contact details
Questions
All apprenticeship standards require confirmation of:
- Any prior end-point assessment activity
- Any reasonable adjustments needed
This is done via tick-box statements in the Questions section. Providers must also confirm assessment preferences here, including:
- Choice of remote or face-to-face assessments (with address details if applicable)
- Preferred dates and invigilation requirements for exams such as Situational Judgement Tests or Knowledge Tests
Declaration
The Declaration section requires confirmation that all submitted evidence is accurate and complete. A signature is needed to confirm the following:
"By signing this declaration, you are confirming the following:
Acting on behalf of the provider, I confirm that the provider, employer, and apprentice have confirmed and agree that the apprentice is gateway-ready and prepared to take their EPA.
I confirm that all information provided is whole, authentic, and accurate in line with the applicable assessment plan, the apprentice has met the minimum duration of on-programme learning, and that English and Maths requirements have been met in line with the funding rules. Where information has been provided by a third party (e.g. employer) they have consented to the sharing of this information.”
